Kingsbury Carpet Cleaners Service Terms and Conditions
These service terms and conditions set out the basis on which Kingsbury Carpet Cleaners provides carpet and upholstery cleaning services to residential and commercial customers. By making a booking, the customer agrees to these terms in full. Please read them carefully before confirming any appointment, as they explain the service scope, booking process, payment obligations, cancellation rights, liability limits, waste handling, and the law that applies to this agreement.
For the purposes of these terms, “we,” “us,” and “our” refer to Kingsbury Carpet Cleaners, and “you” refers to the customer, client, or person placing the booking. These terms apply to all carpet cleaning services, stain treatment, upholstery cleaning, and related cleaning work supplied by us, whether arranged online, by telephone, or through any other booking method. Any special agreement must be confirmed in writing to be valid.
When you request a carpet cleaning service, we may ask for details about the property, the floor area, fabric type, stains, access, parking, and any health or safety concerns. This information helps us assess whether the service can be performed safely and effectively. If the information provided is incomplete or inaccurate, the final result, price, or duration of the appointment may be affected.
We reserve the right to decline a job, amend a quote, or reschedule an appointment where the actual condition of the premises differs materially from the information supplied at the time of booking. This may include unusually heavy soiling, restricted access, unsafe conditions, infestation, or the presence of delicate materials that require specialist treatment. Any revised price will be explained before work begins wherever reasonably possible.
These terms are intended to be fair and transparent and to reflect the practical realities of professional carpet cleaners in the UK. They do not affect your statutory rights as a consumer. Nothing in these terms is intended to exclude or limit liability where such exclusion would be unlawful, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.
All quotations given by Kingsbury Carpet Cleaners are based on the details available at the time. Unless stated otherwise, a quote is valid for a limited period and may be withdrawn or revised if the scope of work changes before the service date. We may charge additional fees for extra rooms, unexpected stain removal, heavily contaminated areas, or work requiring equipment or chemicals beyond standard use.
Booking process begins when you submit a request and ends when we confirm an appointment. A booking is not guaranteed until we have accepted it and, where required, received any deposit or pre-authorisation. We may request photographs, measurements, or further information before confirming. It is your responsibility to ensure that the details provided are accurate and that someone authorised is present at the property on the service date.
By confirming a booking, you agree that the premises are accessible, that water and electricity are available unless otherwise agreed, and that the areas to be cleaned can be safely reached. You must notify us in advance of any special requirements, including fragile flooring, underfloor heating, recently treated fabrics, or items that should not be moved. Failure to disclose such information may affect the outcome of the service and may result in additional charges.
We will aim to arrive within the agreed appointment window, but times are approximate and may be affected by traffic, weather, operational delays, or earlier jobs overrunning. If we are delayed, we will make reasonable efforts to update you. A delay does not automatically entitle you to compensation, provided we perform the service within a reasonable timeframe or rearrange the appointment where necessary.
Payment terms will be confirmed at the time of booking or on the invoice. We may require full payment on completion, advance payment, or a deposit in order to secure an appointment. Unless stated otherwise, all prices are quoted in pounds sterling and may include VAT where applicable. You are responsible for paying all sums due in full, without deduction or set-off, unless we agree otherwise in writing.
We accept payment by the methods we make available from time to time. If an invoice is issued, it must be paid by the due date shown on the invoice. Late or missed payments may attract reasonable administrative charges and, where lawful, interest on the outstanding amount. If payment remains unpaid, we reserve the right to suspend future services, cancel outstanding bookings, or refer the debt for recovery.
Any discount, promotional rate, or special offer applies only to the specific terms stated and cannot be combined with other offers unless we say so. If the service scope increases on arrival, any additional work will be charged at our current rates or at a rate agreed before the work is carried out. Kingsbury Carpet Cleaners will always aim to keep customers informed before any extra cost is incurred.
Cancellations and rescheduling must be requested as soon as possible. If you cancel with reasonable notice, we will do our best to avoid charging a fee, although any deposit may be retained where stated at booking and to the extent permitted by law. If you cancel at short notice or fail to provide access on the appointment day, a cancellation or wasted-journey fee may apply to cover time, travel, and scheduling losses.
If we need to cancel or reschedule due to adverse weather, equipment failure, staff illness, safety concerns, or circumstances beyond our control, we will contact you as soon as reasonably practicable and arrange a new appointment. We are not liable for indirect losses caused by a postponement, but we will use reasonable efforts to complete the service within a suitable alternative timeframe.
Where repeated cancellations, inaccessible premises, or inaccurate booking information cause repeated disruption, we may refuse further appointments. Any such decision will be made reasonably and with consideration for the circumstances. These carpet cleaner terms are designed to balance operational efficiency with fair treatment of customers.
Service performance and customer responsibilities begin before the cleaning process starts. You should remove fragile items, valuables, and small personal belongings from the areas to be treated unless we have agreed in advance to move them. Larger furniture may be moved at our discretion if it is safe and practical to do so, but we are not obliged to move heavy, fixed, or hazardous items.
You are responsible for advising us of any known risks, including hidden damage, loose seams, weak joints, dye instability, water-sensitive materials, or previous cleaning attempts that may affect the outcome. While we use professional equipment and appropriate methods, some stains, odours, or wear marks may be permanent or may only improve rather than disappear. No guarantee is given that all marks can be removed.
Where pre-existing damage exists, we may note it before work begins and, if needed, take photographs for our records. This helps avoid misunderstandings and confirms the condition of the area before treatment. If an item or surface is already damaged, fragile, or unsuitable for cleaning, we may decline to proceed or may limit the method used in order to reduce risk.
Liability is limited to losses caused directly by our negligence or breach of contract, subject always to your statutory rights. We shall not be responsible for loss of profit, loss of business, loss of opportunity, or any indirect or consequential loss arising from the service, except where such exclusion is not permitted by law. If we are found liable, our total liability will not exceed the amount you paid for the relevant service, unless the law requires otherwise.
We will not be liable for damage caused by pre-existing faults, unsuitable materials, hidden defects, structural issues, improper installation, or instructions given by you or your representative. Certain materials, including delicate wool, silk, antique fabrics, untreated natural fibres, and dyed textiles, may react unpredictably to cleaning solutions or moisture. In such cases, you accept the risk inherent in cleaning these items when you ask us to proceed.
We shall not be liable for delays or failure to perform our obligations where the delay or failure is caused by events beyond our reasonable control, including severe weather, flooding, power outages, accidents, transport disruption, industrial action, or public emergency measures. If such an event occurs, we will seek to resume service as soon as reasonably practicable or arrange an alternative date.
Waste regulations are an important part of our service. We operate in accordance with applicable UK environmental and waste-handling requirements. Any waste created in the course of cleaning, including dirty water, removed debris, discarded absorbent materials, and spent consumables, will be handled responsibly and disposed of in a lawful manner. We do not unlawfully discharge waste or leave waste on-site unless agreed and permitted.
Where a job produces wastewater, sludge, or contaminated residues, we may use equipment designed to collect and contain such waste before disposal. If you instruct us to remove items or materials that are classed as waste, you confirm that you are entitled to request their removal and that they are not hazardous unless disclosed to us in advance. We may refuse to transport or handle hazardous waste unless we are properly equipped and legally permitted to do so.
If specialist disposal is required because of contamination, infestation, bodily fluids, chemicals, or other regulated substances, we may stop work until appropriate arrangements are made. Additional charges may apply where disposal obligations are outside the scope of a standard carpet cleaning service. We reserve the right to comply with any legal duty to segregate, report, or decline waste that cannot be lawfully handled within ordinary operations.
To protect the environment, we aim to use products and methods that are suitable for the task and proportionate to the material being cleaned. You must tell us about any environmental restrictions, site rules, or building management requirements that affect the disposal of waste water or packaging. Where the building or site has its own waste procedures, you are responsible for confirming whether those procedures apply to our attendance.
We may leave minor packaging, used cloths, or disposable protective items on-site only where it is reasonable to do so and where no regulation or property rule prevents it. Otherwise, such items will be removed by us. You agree that you will not ask us to dispose of any waste in a manner that breaches the law or causes environmental harm.
If we reasonably believe that a requested instruction would breach waste regulations or create an unlawful disposal risk, we may refuse that instruction without liability. This may include instructions to pour wastewater into unsuitable drains, discard contaminated materials in ordinary bins, or mix regulated waste with general waste. Our refusal in such circumstances will not be treated as a breach of contract.
Nothing in these terms limits your rights under the Consumer Rights Act 2015, the Consumer Contracts Regulations where applicable, or any other mandatory UK consumer law. Where services are supplied to a business customer, any statutory consumer protection that does not apply to businesses shall be excluded to the extent permitted by law. Separate written terms may apply to commercial clients where agreed.
Complaints and remedy should be raised promptly after the service is completed so that concerns can be investigated while the relevant facts are fresh. If you believe a problem has occurred, you should allow us a reasonable opportunity to inspect the issue and, where appropriate, put matters right. Our preference is always to resolve concerns fairly and efficiently through direct communication and practical remedies.
Any request for a refund, re-clean, or price adjustment will be assessed in light of the circumstances, including the condition of the item before cleaning, the information supplied at booking, and whether the outcome falls within the normal limitations of professional cleaning. A refund will not be due simply because a stain has not fully disappeared if the result was affected by pre-existing conditions or material limitations.
If any part of these terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect. Any failure or delay by us in exercising a right or remedy does not waive that right or remedy. A waiver will be effective only if communicated in writing and will apply only to the specific instance stated.
The agreement between you and Kingsbury Carpet Cleaners, together with any written quotation or invoice and any confirmed amendment, forms the entire agreement between the parties for the relevant service. You should keep a copy of the booking confirmation and these terms for your records. We may update these terms from time to time, and the version in force at the time of your booking will normally apply unless a later version is agreed.
Governing law and jurisdiction: these terms and any dispute or claim arising from them shall be governed by and interpreted in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, except where consumer law requires another forum. By booking with us, you agree that the service is provided under this legal framework.
